Use it when

you're deciding where files live, or checking sharing every three months.

Choosing a service

Who runs it, and do they sell or share your data?
Two-factor, security staff and sharing settings you control?
Can the company read your files, or are they end-to-end encrypted?
Where is it registered, and where are its servers?

Sharing safely

Named people only for anything sensitive, never “anyone with the link”.
Each folder only for the people who need it.
Shared from organisation accounts, not personal ones.
Large sensitive files through a service that encrypts them, the link sent through an encrypted chat.
Hidden details removed before files go outside.

If a file reaches the wrong person

Stop the leak. Switch off the link and remove access.
Work out what was exposed, and whose details.
Put people’s safety first, then check whether you must report it.

Notes

Take care: When someone leaves, move the files they own to the organisation before their account closes.
